Refund Policy

Version 1.4 — Effective from 27 September 2026

This Refund Policy applies to purchases of The Outreach Machine ("TOM") made directly from Studio Synapse di Fabrizio Mainardi di Pescia and paid through our secure Stripe checkout. It should be read together with our Terms of Service.

All purchases are made directly from us: Studio Synapse di Fabrizio Mainardi di Pescia is the seller. Payments are processed securely by Stripe, our payment provider. We handle refunds ourselves and process them through Stripe to the original payment method.

Stripe's services agreement and privacy policy also apply to the payment services. Where this policy or mandatory consumer law gives you greater rights, those rights prevail, and nothing in this policy limits or excludes any right you have under applicable law.

1. General refund policy

We do not offer a voluntary money-back guarantee. Except where this policy, the Terms or mandatory law provides otherwise, subscription charges for a billing period already started and fees for services or add-ons already provisioned are non-refundable. You may cancel a mailbox subscription at any time to stop future renewals; cancellation takes effect at the end of the current billing period, and does not by itself refund the unused portion of that period. This does not limit statutory withdrawal rights, mandatory remedies for a defective/non-conforming service, or rights relating to an incorrect charge.

2. Statutory withdrawal right for consumers (14 days)

If you are a consumer (an individual acting outside your trade, business, craft or profession) and make a distance purchase in the EU/EEA or United Kingdom, you generally have a statutory right to withdraw from the service contract within 14 days of its conclusion, without giving a reason. The exact scope and any exceptions are determined by the law applicable to your purchase. Other countries may provide different mandatory rights; nothing in this policy excludes them.

If checkout allows the Service to begin before the withdrawal period ends, we will first ask you to make a separate express request for early performance and acknowledge any proportionate payment obligation if you later withdraw. If the required request or information was not obtained, you will not be charged for service supplied during the withdrawal period to the extent required by law.

  • How to exercise it: send us a clear statement by email to team@theoutreachmachine.com (you can use the model form in Annex A of our Terms of Service, but it is not mandatory), or manage your subscription from the billing portal in your account.
  • If you asked us to start the service during the 14-day period: where the law allows us to charge for early performance and you expressly requested the service to begin during that period after being informed of the consequences, you may owe an amount proportionate to the service supplied up to the time you notify us of withdrawal. For an ongoing mailbox subscription, this is generally calculated against the agreed price and the part of the billing period supplied. We refund any balance you paid above that lawful proportionate amount. If you did not make the required express request or we did not give the legally required information, you will not bear the cost of the service supplied during the withdrawal period to the extent the law so provides.
  • When the right ends: for a service contract, the 14-day right is lost only after the service has been fully performed, and only if you gave prior express consent for performance to begin and acknowledged that the right would be lost upon full performance. Starting an ongoing mailbox subscription does not, by itself, mean the full subscription service has been performed. Any separate digital content or add-on is subject to the specific statutory exception only where all required consent, acknowledgement and confirmation conditions are met.
  • Refund timing: where a refund is due following statutory withdrawal, it is issued without undue delay and within the statutory period (generally 14 days from notice), using the original payment method unless the law permits another method without cost to you.

3. Subscriptions and cancellation

  • You can submit a cancellation request at any time from the billing portal in your account or by emailing us at team@theoutreachmachine.com. Cancellation stops future renewals and takes effect at the end of the current billing period.
  • You retain access through the paid billing period. The current period is not refunded solely because you cancel or stop using the Service, except where a statutory withdrawal right or another mandatory legal remedy applies.
  • Any change to the mailbox quantity or monthly total is shown before you confirm. Removing a mailbox prevents its next renewal; no future charge is made for that mailbox after the current billing period ends.

4. Add-ons and one-off items

  • Domains and mailboxes: these may be provisioned through third-party registrars or email providers. Once provisioned, fees are generally non-refundable outside any statutory withdrawal or other mandatory consumer right. Where you exercise a statutory right, we may deduct only an amount proportionate to the service actually supplied if the legal conditions for early performance and payment have been met. Third-party service terms may govern ongoing registration or mailbox periods.
  • Verification credits: these are one-off top-ups. We do not offer voluntary refunds for unused or consumed credits. If a consumer exercises a statutory withdrawal right, the result depends on whether the credits qualify as a service or digital content and whether the required express consent, acknowledgement and confirmation to begin supply were obtained; we will refund or deduct only as mandatory law permits.
  • Nothing in this section limits your statutory rights as a consumer.

5. Free trials

We do not currently offer free trials. If we introduce one, you will be able to cancel before the end of the trial to avoid any charge, and the details will be shown before you start it.

6. How to request a refund

  1. Use the billing portal from your account — where you can view invoices, update payment methods and manage your subscription — and submit a refund request; or
  2. email us at team@theoutreachmachine.com with the email address used for the purchase and, if you have it, your invoice number or payment reference.

We reply within 2 business days and process approved refunds through Stripe. We may ask you for the information needed to identify the transaction. Once approved, refunds are issued to the original payment method, typically within 14 days. Refunds are always paid to the original payment method; we never ask you to send us payment details by email or to pay outside the official checkout.

7. Defective or unavailable service

If the Service does not work as described, is not accessible, or is otherwise non-conforming, contact us first at team@theoutreachmachine.com: we will work to resolve the issue as quickly as possible. If you are a consumer, you are entitled under applicable law to the remedies for non-conforming digital services (repair, replacement, price reduction or termination of the contract, with reimbursement) — in Italy, under Legislative Decree No. 173/2021 and Articles 135-octies et seq. of the Consumer Code. These rights are independent of, and additional to, this policy.

8. Business buyers

If you purchase for business purposes, consumer statutory withdrawal rights generally do not apply. You may still cancel a mailbox subscription at any time as described in section 3, with cancellation effective at the end of the current billing period. No voluntary refund is offered; any mandatory rights or remedies under the law applicable to your business purchase remain unaffected.

9. Chargebacks

If you believe a charge is wrong, please contact us before raising a dispute with your bank: it is usually faster for everyone. If you raise a chargeback that we reasonably believe is abusive or fraudulent (for example, claiming non-delivery of a service you have received and used), your access to the Service may be suspended while the dispute is investigated and terminated if the investigation confirms abuse.

10. Changes to this policy

We may update this Refund Policy from time to time, for example to reflect changes in the Service or in the law. The current version is always published on this page with its effective date. Changes apply to purchases made after the effective date.
